Cancellation and Refund Policy

Kindly read the following Cancellation and Refund Policy carefully. By accepting the final tour documents, itineraries, and digital files issued by Incredible Rural India, you acknowledge and agree to all the terms outlined below.

All prices are quoted either in US Dollars (USD) or Euros (EUR) per person, based on double occupancy, unless stated otherwise.


Travel Insurance

Travel insurance is mandatory and strongly recommended for all journeys offered by Incredible Rural India, including:

  • Destinations

  • Curated Journeys

  • Honeymoon Tours

  • One Day Journeys

  • Tailor-Made Journeys

  • One-of-a-Kind Journeys

Travel insurance helps protect you in the event of unforeseen circumstances such as medical emergencies, last-minute cancellations, trip interruptions, or early termination of travel plans.


Reservations and Payments

Reservations should be made well in advance, as many hotels and services are limited in capacity and may sell out quickly. To secure the accommodation options proposed, early booking is strongly advised.

  • A tour cost deposit is required to guarantee your reservation.

  • If the departure date is within 60 days, full payment is required at the time of booking.

  • For all other bookings, full payment must be completed 30 days prior to the travel date.

Failure to make payments within the stipulated timeframe may result in cancellation of services.


Cancellation Policy

If you need to cancel part or all of your travel arrangements, written notification must be sent to Incredible Rural India. Cancellation charges will apply based on the date we receive your written request, as follows:

  • 60–30 days prior to arrival:
    10% of the total tour cost + cost of non-refundable services

  • 30–15 days prior to arrival:
    25% of the total tour cost + cost of non-refundable services

  • 14–7 days prior to arrival:
    50% of the total tour cost + cost of non-refundable services

  • Within 6 days of tour commencement or no-show:
    100% of the total tour cost


Special Trains and Peak Season Bookings

Special luxury train journeys such as:

  • Palace on Wheels

  • Deccan Odyssey

  • Golden Chariot

are subject to separate cancellation policies, which will be communicated at the time of booking.

Additionally, during peak travel seasons (20th December to 15th January), cancellation terms may differ and will be advised accordingly.


Hotel-Specific Cancellation Policies

Certain luxury hotels and service providers, including brands such as Taj Hotels and Oberoi Hotels, follow stricter cancellation policies. In many cases, one-night retention charges apply if a cancellation or amendment is made within 30 days of arrival.

Some hotels and service providers may require a non-refundable deposit at the time of booking. If such bookings are canceled, refunds will be limited according to the specific provider’s policy.


Refund Policy and Limitations

  • Incredible Rural India is not responsible for refunds related to unused accommodations, missed meals, or unused transportation services.

  • No refunds will be provided for missed flights, trains, or land arrangements due to delays or no-shows.

  • Refunds, if applicable, will be processed after deducting cancellation charges and non-refundable costs.

By confirming your booking and accepting final tour documents, you agree to this Cancellation and Refund Policy in full.
